Prevent duplicate Fixed Price listings from launching to eBay.

Greg S.
posted this on December 19, 2010 16:15

Hi everyone, we are finding that there are still some of our sellers who are launching duplicate listings to eBay. We wanted to write a quick announcement to let you know how to resolve this and what you can do to ensure compliance with eBay's policy.

First, a few important ways to ensure eBay is not finding your items as duplicates

  • Don't rely just on differences in your item description to differentiate between duplicates. Try to make sure that you have differentiations in at least 2 different places. This can include in your title, in the item specifics, price, and in the description itself.  Differentiating in two of these areas will ensure better compliance and better search results for your buyers.
  • If you currently have fixed priced, duplicate items on eBay, you should immediately end the duplicate items and then add quantity to the main item that you will be leaving on eBay. To learn how to end an item, view the how to here. To learn how to revise an item and add more quantity, go here. Ending and revising in inkFrog are extremely simple. One final note, it's very important that you turn off auto-relist rules for your items once they end to ensure they do not relist again and cause more duplicate listings. To turn off your auto relist rules, see this article

There are many other things you can (and should) be doing in order to ensure the best chance of success. One of these is to list Multi-Sku items. A multi-sku listing allows you to create one listing for different product types. For example, if you have a 'black shirt Size Large' 'and a 'Black Shirt Size Medium' then you can create a single eBay listing that offers these two products in it by creating a multi-sku listing.  InkFrog has one of the best multi-sku listers in the industry and allows you to list faster than any other third party tool on the market. To learn how to list multi-sku listings in inkFrog, see our multi-sku how to.

If you are a parts and accessories seller, you can also accomplish the above using Fitments. We will release a how to on Fitments shortly.

Please also take a few minutes to understand eBay's policies regarding duplicates: http://pages.ebay.com/sellerinformation/news/DuplicateListingPolicy.html

This works in reality but when there is a hiccup in launching you get duplicate listings then the seller and not inkfrog gets the ding for it.

Your article is missing a very important part.  When a seller has a large number of listings, the seller needs a tool that he can launch to check for duplicate listing.  Please add this information to this article.  Oh, and if this tool is not available, it is time to create it.  I will now continue my search for the tool.

eBay will typically return an error when a duplicate listing is launched that is not allowed.

What is the solution when you have between 7,000 and 10,000 listings?  How is a seller to find any duplicates?  eBay is no help; no tool; no look-up device.  A seller could not simply put one title in and search for duplicates and repeat this 7,000 to 10,000 times a day!  That would take 125 hours of manpower per day at 45 seconds per search!  Meanwhile, eBay send you warnings and attacks your account.  What are we to do?

P.S. We never see any errors when a duplicate listing is sent to eBay, even if my a software glitch by eBay or by inkfrog.  Who is to help the sellers?  Cannot inkfrog represent and speak on behalf of your customers (eBay sellers) to eBay to find a soultion that does not put people out of business?  Even eBay's own policy is not followed.  They have dinged us for duplicate listings when the title is the same but the item (a photograph) is clearly a different, unique item and is "obvious in the search results" (their policy) and they still violate you.

Been dealing with this for months and get the run around and no real answers.  Like others that have commented, we have way too many items to be sorting throught them every day.  Give me a break!  How about a real solution.

Still a problem for my 1600 listings store.  I have relisted or resubmitted listings currently in my unsold folder that inkfrog has not acknowledged and marked as resubmitted or relisted.  These mistakes in the inkfrog program are cow patties for me.  This is not good service for money I am paying to inkfrog and are causing me unnecessary problems with Ebay.  They told me to tell inkfrog, but I really don't think Inkfrog will take responsibility for this.

Happened to me today and resulted in 7 day Ebay listing suspension. I reported to support and got none. I believe this is happening when an unsold item is not updating the status to scheduled or relisted which is how we end up with duplicate listings using the unsold folder. Inkfrog seems uninterested in dealing with this issue.

I got a 7 day suspension too yesterday-for one duplicate out of 2000. Its ridiculous.  We need a tool that checks all our listings in the library and live listings to make sure there are no duplicates before launching and after.  A lot of sellers have thousands of listings.  You cannot go through them one by one everyday.  Please look into this for us. Thank you.

It would be wonderful if a petition could be started for sellers who have either been threatened with suspension or have been suspended over something as trivial as this. And it would be even better if a collective voice might change the way ebay treats its sellers.  But they only listen if it makes them money.   If you are like me, a very reputable and long time seller and also dependent on the income from ebay (I am retired and disabled), then speaking out against ebay is very scary.  I am nothing to them.  I know that to be true because the $20K + that pay them each year means nothing in the face of a duplicate listing made as an unintentional error or as a result of a system glitch.   What right does ebay have to take away income for something this small?   Have they decided now that  they want to lose money?  This is over the top ridiculous and truly a lose lose for all concerned.  So much unnecessary angst and a total waste of time for us all.

I too totally understand the frusration.  I telephone eBay and get told that inkFrog should be helping me out with this issue.  I live chat inkFrog and get told eBay should be helping me with this problem.  I notice that no one at either inkFrog or eBay experience a computer glich and forget to take my money each month and we continue to pay the fees because what other options do we have?  Customers have now become slaves to not only eBay but also to inkFrog because if and when we move to another site what happens to all our pictures?  I just wish I would enjoy being the slave more.

I also got a 7-day suspension for duplicate listings. Scary stuff. What I don't understand is why InkFrog can't come up with a tool to prevent this. They have many other fail safes for far less significant errors. In talking with the eBay reps what I gather is they are really cracking down on this lately as it is apparently clogging the system to where customers just give up. What slays me is they courted these big sellers and now they can't control them.  And those of us smaller sellers who just make honest mistakes are getting caught in the net with the big fishes. What I have been doing is going to my live listings each night and clicking on Item, which puts them all in alpha order. With about 500 listings, it just takes a few minutes to run each page and look for duplicates, but this still feels like a waste of my time, and what if I forget or don't catch one before eBay does?

I now show up as LOW in compliance with eBay policies when I have never, ever intentionally launched a duplicate listing. I simply don't understand why IF can't come up with a tool to alert us when we launch a listing that is an exact duplicate of a live listing. How hard can that be?

I'll add this - when this happened to me (the suspension) I did a search in support to try to find a thread on this topic and found none. This one came up for me this morning when I was searching something on the new parcel select!

Have you happened to ever check into our other product, Highwire.com? It's similar to inkFrog in some ways...and much better in many ways. It's based on having an inventory of products which can be synched across multiple channels. You can list to eBay, have a facebook store, your own ecommerce store, sell on Bonanza and if something sells in one place, it's removed from the others. It's actually really a site worth looking into using, even if just for eBay sales.

It is impossible to list duplicate listings when using Highwire.  You can only have a product listed once, if you try to list it again, the system will stop you from doing so automatically.  You can copy a product and launch it again in cases where you want a duplicate but it cannot happen accidentally.

You're also able to import your live and closed listings from eBay to create the listings at Highwire and also import from inkFrog's library to create listings at Highwire when using the paid plan. There is also a free plan you can use to try it out if you'd like.  Your photos are imported as well!

If you do have any interest in finding out more about Highwire, we can set up a one on one training session to show you how the site works using GoTo Meetings where we can speak with you and share a browser. If you would like to do that, just let us know :)

Hello InkFrog Support team! I admire the patience you have to put up with all of us cranky sellers! I, too, have a complaint about duplicate listings, and I appreciate any help you might be able to provide.

I am looking into your Highwire software, but I have a few questions. If I sign up for the free version, is that just a trial or can I continue to use it for free (since I am only listing on eBay at the moment)? I have all of my listings, photos, and profiles stored in Inkfrog. If I would decide to use Highwire, should I keep my InkFrog account to list with and just run them through Highwire before launching, or should I switch everything over to Highwire and close out my InkFrog account? What is the price difference between Highwire and InkFrog for sellers like me who only have approximately 2000 - 2500 listings active?

I would prefer to stick with InkFrog, if possible, since the duplicate listings is my only significant complaint with it (that and the slow photo-uploader in the new InkFrog, but I believe you've been working on that...) Have you made any new developments with the new InkFrog seller to eliminate the possibility of listing duplicates? I am ok if it requires you to have a unique title line (with completely new words--not just the order of the words) for each individual listing. Anything you can do to save us from being shut down again! We never intentionally list duplicate items, but some do accidentally slip through from time to time. If only InkFrog could give us an error message if we are trying to list something with an identical title to something we have active. That would help immensely!

Thank you for your time and your help!!

Also, for buyers, I have discovered a few ways in which duplicate listings are slipping through OUR fingers at ShopCrownhouse:

1. When we sell an item from a multi-sku listing but the buyer does not pay for it. Thus, we receive a message from ebay saying that our unpaid item has been credited back to us. These items do NOT come through the unsold folder, thus, we have to find them and relaunch them manually in eBay. If it is from a multi-sku listing, you must revise the quantity of the listing that is already active, and not re-launch a new listing.

2. On our team, we have two different people managing new listings and managing relists (unsold listings). When you end a listing in eBay (to hold it for someone or to make a permanent revision, for example), it will come through your unsold folder, but sometimes it takes a few minutes. We have had it happen where one of us ends a listing and a person who manages the unsold relists it before we've had a chance to delete it from the unsold folder. We haven't figured out a way to solve this other than to watch your unsold folder like a dog when you've ended something and delete it IMMEDIATELY after it shows up.

3. Also, when you go to relist a whole bunch of things at a time and one or a few things have errors, the little red "RELISTED" mark does not appear on the other listings. This can be confusing if you are not keeping track of the items you selected. In this case, I refresh my active listings in eBay and make sure I delete all of the ones that went through from my unsold folder.

That's all I've discovered thus far! I hope all of that makes sense. I will keep my eyes open for other possible scenarios where duplicates can occur and I'd appreciate it if others sellers would do the same. We have to stick up for one another!

SUPPORT TEAM: If you can find a way to fix any of these issues, we sellers would greatly appreciate it!!!

hi @shopcrownhouse -  You can continue using Highwire for free since you are using it for eBay only until you get 25 products in there (altho we are considering increasing this for free accounts)  -- Many sellers are using inkFrog and highwire for specific tasks (for ex. keeping inkfrog for our smart shipping or insurance), but with highwire it works best to do all listings from there to keep things in 'sync'.  Once you get to a certain sales level in Highwire, it is a little bit more expensive and maxes out at $99/mo but this includes all of the features which are much more robust than inkFrog - and it will save you a ton of time. It also has a user system so you can control what sections your employee's have access to (which sounds like maybe something you need?).

One other great thing about Highwire is that it automatically imports the buyers from all of your eBay sales -- i could go on, but you get the idea.

regarding duplicates on the inkFrog side. It is a project that we had started to build and then scrapped it because eBay was doing a good job already of blocking these listings from getting launched. Now it appears they are not blocking them anymore so we have put the duplicate listing block back on the table to develop on our side.

Thanks, Greg. Your support team has been a great help with quickly responding to my questions. With the volume we sell per month, we are going to stick with InkFrog for now, though we will keep Highwire in mind for the future when we get our own website up and running again and branch out in other avenues. $99/mo is just too much for us right now.

I am so thankful that you are focusing on the duplicate listings issue again as it does seem that eBay has been slacking there. I wish you the best of luck with that project!!!

I complained about this the other day.  I'm also in the same position of being suspended.  In happened a couple of days ago and an a couple of weeks ago.  Today, i not only found it, and deleted one of the dups, an hour later another dup showed up.

I reported this last a couple of weeks ago, pissed, because it costs me and was told to sign up for highwire and the added costs and it would be resolved but not in the ebay lister.

@trolleyhouse - are you using auto relist rules on your inkfrog listings? This maybe the reason more are launching. Try removing all of your auto relist rules.

regarding Highwire, check this out: http://ebay.highwire.com - completely free and will prevent duplicates :-) It's our eBay only version of Highwire that is not released to the public (yet) but should be released this week. Feel free to signup and use it!

I'm a power seller with top ratings, because of accidentially relisting duplicates I just received a notice this morning- Kicked off Ebay for a month . This is no joke. A few crummy cups with NO intent to defraud or beat the system.

Not using relisting tools.   Inkfrog DID filter fro dups now what the hey????? And unsold items is not registering "relisted"

I'm just sick,

Hi @Katts -- I would definitely use the new site and/or Highwire (for duplicates, highwire is the way to go!). One thing that I always try to remind people is that we develop business software (as you are a business owner). It's very important to stay up to date and upgrade to stay current to support your business.      Which brings me to IE 8. Don't get me started on that browser :-) -- but lets just say it is a terrible browser and it definitely should not be used.  You can use it for simple browsing etc. (although I would be careful because it's not very secure) but when it comes to running your business, I would definitely use Chrome or Firefox and things will work much better.

Oh, and let me get into Highwire if you don't mind -- Highwire truly is the best product for eBay right now. It may take a little bit to get used to, but once you realize the power of it you will be hooked. The CSV and sync it has is unlike anything on the market.  It also has a completely different development team and features and updates are much faster than inkFrog.

Will XP pro with IE7 work for hi Wire? My listinging are custom with added pictiures won't Hi-wire distort them? The NEW inkfrog did.

After 5 -6 calls to ebay and multiple transfers around the globe to try and mitigate their punsihment   looks like it. stands They destroy their own sellers and profit for  technical issues.

@Katts - Highwire is currently free during beta with 1k listings.  It will NOT work with IE7. You really need to upgrade your browser OR use Firefox or Chrome. Firefox and Chrome is much faster than IE 7 (make that all  versions of IE) and it will run great in Highwire and inkFrog. It's very important to use a good browser for our software and your business.

Sorry I hate to be such a "novice"  what do you mean 1K ( Yes, I will read the instructions LOL)

I do have IE8, sorry .  Firefox & Chrome do not allow me to edit My "custom , cut & paste " Legacy listings, IE8 does. Went through hades this past Summer trying to figure out what was wrong with my listings when I changed to Chrome/Firefox. Tried both. Couldn't edit  in Inkfrog Legacy . Nothing worked except to go back to IE8.

.My IT guy helped figure it out.  Says IE is microsoft proprietary allowing it  to go deeper into the system, which Chrome & Firefox can't,  although, they are no doubt way faster.

I used to get warnings for duplicates . WHat happened to that? Or was that an Ebay  add-in to Inkfrog which has ceased?.

I am floored at what happened to me. Its no small joke and I am sure others have been just as severely penalized for these small accidential infractions.

I'm afraid I'll have to make over all my listings in hi wire due to my custominzing. Can I create only one listing in Hiwire and try it without making a mess of all my listings.?

Thanks

Katts

Just got an error message today for accidentally trying to list a duplicate. I don't know if it was InkFrog that stopped me or eBay, but I am so glad that is working again!

I'm going to let my boss know about this new High Wire for eBay only. One thousand listings free is great! What is the price bracket once you exceed 1K? I didn't see prices on the website and I'm not ready to sign up yet.

@shopcrownhouse - we don't really have pricing in mind yet for the eBay only and will gladly open up the limits (ie. make unlimited) for any account during our beta and until we know the pricing  -- however, you can upgrade at anytime to our full platform at http://www.highwire.com/pricing  which has the eBay piece built in as well (actually, there is an 'ebay only' mode in our full platform).

The full platform is a little too advanced for us at this point, and I don't think my boss would want to sign up for the new version until we know what the prices will be... but keep us posted. I check the forums semi-regularly.

I read Greg's comments word for word and still can't figure out how to accomplish this task:

As his headline states:

"Prevent duplicate Fixed Price listings from launching to eBay"

Am I understanding this correctly... We are all in danger of losing ebay accounts and the only fix is to move over to a more expensive service called Haywire?

That there is a NO current fix within Inkfog to PREVENT DUPLICATES FROM LAUNCHING....

@shopcrownhouse... can you please tell the group what the error message was that you got. Did you do anything special?

Unbelievable. I stumbled across this thread by accident, and am reading it with great interest as a recent victim of eBay's new policies regarding duplicate listings. We were suspended for one week, being a Top Seller with 99.9% (thanks to two recent undeserved negatives - it has been 100% for years) feedback rating with well over 22,000 transactions. My jaw dropped when I read one of the entries about one of you being barred for A MONTH because of this. I was also surprised to learn that eBay had been working on a preventative to this, but is no longer doing so. I shouldn't have been - I do not trust eBay, and always have to wonder what their current agenda is. I have finally recovered from Low Compliance to Medium and now to High. Then yesterday I got a dreaded MCO18 message telling me I had a duplicate and my heart sank.

I can't use Highwire alone if you lose Smart Shipping and the insurance. I depend on these daily. As I said on this thread WEEKS AGO, this should be THE SINGLE MOST IMPORTANT THING Inkfrog is working on right now. What can be more important than helping to prevent its customers from being suspended from eBay??? I am relieved to know you are working on it, Greg, but wonder just how long it will take. I also have to wonder why Inkfrog and Highwire can not somehow be rolled into one single product or at least allow those of us who pay for InkFrog to use Highwire's features with a sizeable discount. Like another of your customers said, the last thing I need right now is an additional $40-99 expense each month. I am going to explore the link Greg has provided us. I can't afford not to.

Greg, I see one reply of yours I missed re-reading this thread. Please know that we use often use older listings to create new ones (using them as templates). I hope the mechanism you are working on stops us only at the point of listing, re-listing or scheduling, not during the creating/revision process.

Hey winter - we actually have a lot of things in place right now in inkFrog which will warn you of duplicate listings.  It is already released on the lister (it will warn you before you launch) and we will have it released for 'unsold' relists in a few minutes. We will then have it in bulk library listing and bulk relist from sold as well probably by tomorrow.

also, we have some very good news on the Highwire front! We will be changing our pricing over the next few weeks to a flat amount of $29.95/mo unlimited!! This is a big deal and this includes a store and multi channel use if you want it.

The smallest plan you can have to keep insurance/smart shipping will be $9.95 - so total between the two would be ~$40/mo - we do however have plans to integrate shipping into HW but no ETA on that yet.

Greg,

After several frustrations with Ebay, and inkfrog's initial lack of support for the issues...we have finally begun to see inkfrog take a hold of the duplicate listings errors.  What we were seeing was when there were software hang-ups in bulk scheduling unsold listings, inkfrog would allow multiple re-schedules of the same unsold listing...causing massive problems.  For sellers with thousands of listings this was an utter nightmare!

EBay expected NO DUPLICTAES, yet how was a seller to find a single duplicate in say, 10,000 lisitngs; all ending, relisting selling and going to unsold folders in a constant motion?

Sellers were penalized, EBay took no prisoners and inkfrog washed their hands of the whole matter; until now!

Thank you!  We recently experienced a serious hang-up this past weekend with unsold listings, and we thought everything had been caught and dealt with.  Low and behold over the weekend we began to find listings in our FAILED folders; Thank Goodness!  They were all duplicate listings re-sent through your web glitch, but they were stopped as a result of your latest efforts.

Our sincerest thanks!

Please continue such efforts on our behalf.

We would love to see the ability to Find & Replace in listing titles again.  We had that feature before the New inkfrog release.  Any possibility that could return?

Another needed feature is the ability to change the Ebay Gallery image in bulk; a neat trick if you can manage it.  We are talking about a folder of unsold listings.  With EBay's new image requirements, we simply want to upload new filenames (of image files that meet the new requirements) that then could be exchanged on the gallery image for each listing.  Since we have been using Import TurboLister files to bulk uploads, the gallery image filename is assigned initially to an EBay image file; we seek to exchange that image filename with a relisting of unsold listings. otherwise, each relisting grabs that previously stored EBay gallery image and if the image does not meet the NEW EBay image requirements, if will be flagged starting in JULY.

Just a few things on our WISH LIST....

We are doing our best :-) I'll discuss your suggestions as well with the team. Some of these things are not simple to create.

I do not have any duplicate listings.  They are all different dress patterns with different names and numbers. Some of the wording in the iisting is the same. Inkfrogs message box is stopping me from listing these. Not Ebay. How do I remove your message box so I can list?

@ashevillekat - the warning box that comes up is just a warning. It will not prevent you from listing anything. You can list all you want. We will have an option to completely hide it shortly.

@tlcoldiesbutgoodies, I don't mean to change the direction of this thread, but you mentioned something about "new image requirements" with eBay. Can you tell me where I can read about this? I've been seeing that orange flag error message on some of my eBay listings saying something about images being the wrong size (unfortunately I can't find the error message now that I'm looking for it...), but since it was still letting me launch everything, I didn't worry about it too much. Are you saying that if I don't fix those that eBay is going to remove them in July??? Yikes. I should pay closer attention to those messages.

@shopcrownhouse, go to www.ebay.com/Spring2013

All the pertinent new policies are listed. Regarding images, look under the green headers with the words "Other updates to boost your efficiency and sales" and below that "Picture quality" and then click on the link in that paragraph "be enforced starting in July" there EBay will explain the specifics, image quality, changed watermarking policies...a lot of stuff!  If you don't follow these new policies, then EBay will "violate" you on their policies.

Thanks! I'll look into that.

I'm already being limited for duplicates, I have no idea how these are getting up, if it happens again I'm out of business and out of luck. My only option here looks like pulling everything from the inkfrog system until I can find out what's going on and why these auctions are still getting through somehow.

@dehartsales - Are you using our new site or legacy? Do you have any auto listing rules setup perhaps (if so, turn those off)? Our new site will try to warn you if you go into a listing and there is a live one already on.

I switched to the new version as soon as it went up. The last listing that dinged me was one I hadn't hand listed in weeks I'm still trying to figure out when it went up and why there were two of them. I know about the warning, I get the warning most of the time, but last week two items got through with no warning and ebay caught them on me. One listing was not showing up at all in Inkfrog at all even-though I listed it through inkfrog like I always do. Something was glitched there.  The second one I listed didn't give me the error message when posted it but it was showing up on inkfrog when I checked it. I don't have room for another mistake on this, I will lose everything.

How about a quick tool that searches your listings for duplicates and notifies you or even deletes the newest one as per your settings. That might be something people would really like and save a few people's accounts from disaster.
